Which Type of Visitor Are You?
Find registration before your first session
Check the organizer’s email for badge pickup, room level, event entrance and start time. Your registration desk may not be beside the first meeting room.
Check the assigned exhibit hall
Confirm hall letter, booth number, move-in window, freight instructions, dock access and delivery rules. Regular visitor parking is not the same as an exhibitor loading arrangement.
Plan room check-in and total cost
Include parking, applicable resort fees and taxes in your stay budget. If you arrive before hotel check-in, ask Bell Services about luggage storage.
Go to the event, not automatically to hotel check-in
For conventions, meetings, restaurant reservations or performances, use the organizer’s designated entrance and access requirements.
Convention Center Floor Map: Which Level Do You Need?
The most useful part of Marriott’s meeting-planner PDF is its breakdown of rooms by level. Gaylord Opryland has multiple interconnected sections, and some areas shown near each other on the map do not connect directly.
| Level | Meeting areas | Best for |
|---|---|---|
| Exhibition Level 0 | Ryman Ballroom, Ryman Studios, Ryman Exhibit Halls | Trade shows, exhibition booths, large functions and breakout sessions |
| Main Level 2 | Tennessee, Volunteer, Davidson and Delta Ballrooms | Conference general sessions, banquets, presentations and receptions |
| Mezzanine Level M | Volunteer Mezzanine: Jackson, Lincoln, Washington and boardrooms. Delta Mezzanine: Bayou and Canal rooms. | Breakouts, workshops, training and smaller meetings |
| Magnolia Mezzanine M | Belle Meade, Belmont and Cheekwood meeting rooms | Conference breakouts and smaller group sessions |
| Delta Island | Delta Island A–F and Delta Island Boardroom | Smaller functions and private sessions |
How to locate your assigned room
- Read the full room name. Write down the room, subdivision and any letter or number shown on your agenda.
- Find its level. Compare the name with the table above or the official convention floor plan.
- Identify the nearest vertical connection. The venue map marks elevator and escalator areas such as P1, D4 and M2.
- Follow the correct resort section. Do not assume that a mezzanine room in Magnolia connects directly to another mezzanine wing.
- Check the final room sign. Look for current conference signs and organizer staff before entering a private meeting.
Directions, Parking & Arrival
Use 2800 Opryland Drive, Nashville, TN 37214 for navigation. The property is in the Opryland area northeast of downtown Nashville, near Grand Ole Opry and Opry Mills.
Marriott’s published on-site daily self-parking rate, before tax. Photograph the parking area and follow the convention signs toward your assigned room.
Published daily valet rate, before tax. Confirm the operating location, availability and any event-specific conditions on arrival.
These are published standard rates, not guaranteed event or short-visit rates. Prepaid parking, holiday restrictions and organizer arrangements can have different terms.
Driving and arrival: simple steps
- Open the property address. Use driving directions to Gaylord Opryland.
- Check your event instructions. Some large conferences specify a particular arrival entrance or registration lobby.
- Choose parking or drop-off. Decide whether to self-park, valet or use an authorized rideshare drop-off point.
- Save your car location. Photograph your parking section or level before entering.
- Use the indoor resort map. Switch from your road navigation to the resort’s level and room information.
For the full explanation of parking costs, resort fees, arrival rules, maps and transportation, see our Gaylord Opryland parking, map and visitor logistics guide.
Arriving from Nashville International Airport (BNA)
Marriott lists BNA approximately 8.3 miles from the hotel. The resort does not advertise a complimentary hotel airport shuttle. Consider a taxi, rideshare, private car or another separately arranged transfer.
- Allow additional time for baggage claim, vehicle pickup and traffic.
- Use the designated airport rideshare or ground-transport pickup area.
- Enter the resort’s complete street address in your destination field.
- For a conference group transfer, confirm whether your organizer has arranged separate transport.
Local resort shuttle
Gaylord Opryland advertises a complimentary local complex shuttle connecting the resort’s Cascades Canopy, Opry Mills (near Madame Tussauds) and The Inn at Opryland. Hours can vary. This is not the same as a free airport transfer or a general downtown Nashville shuttle.
Event Space, Exhibit Halls & Capacity
Gaylord Opryland supports major conferences, trade exhibitions, banquets, corporate meetings and smaller group sessions. Marriott’s current event listing advertises 92 event rooms, 106 breakout rooms and 766,718 square feet of total event space.
| Space or area | Typical purpose | Planning detail |
|---|---|---|
| Ryman Exhibit Halls | Large exhibitions and trade shows | Confirm hall subdivision, exhibitor doors and loading schedules. |
| Ryman Ballroom | Functions, sessions and banquets | Different from the adjacent studios and exhibition halls. |
| Ryman Studios | Breakouts and smaller meetings | Useful for parallel conference sessions. |
| Delta Ballroom | Large meetings and receptions | Confirm configuration and staging with venue sales. |
| Tennessee Ballroom | Presentations and general sessions | Located on main convention Level 2. |
| Volunteer Ballroom | Conference sessions and functions | Located on main convention Level 2. |
| Davidson Ballroom | Meetings and banquet functions | Located on main convention Level 2. |
| Mezzanine rooms | Workshops and breakouts | Check specific wing and room name. |
How to request meeting or convention space
- Estimate attendance. Separate general-session attendance, breakout groups and exhibitor requirements.
- List your dates and setup. Include rehearsal, move-in, event and move-out dates.
- Specify the configuration. Examples include theater, classroom, banquet, reception or exhibition layout.
- Document technical needs. Include screens, sound, staging, registration, catering, power and internet.
- Request a venue proposal. Use Marriott’s official meetings and events page to begin the planning request.
- Review the complete quote. Confirm room rental, accommodation blocks, AV, labor, food and beverage, taxes and applicable service charges.
Exhibitor Checklist: Before You Ship or Set Up
Exhibitor arrangements are often different from ordinary visitor instructions. Even when a booth is located in a Ryman Exhibit Hall, exhibitors should follow their individual show’s exhibitor manual.
- Booth: Confirm hall subdivision, booth number and show-floor map.
- Move-in: Check your exact assigned loading and setup window.
- Freight: Use the organizer’s designated shipping address, labels, advance warehouse or show contractor instructions.
- Handling: Confirm material-handling, receiving, storage and return-shipping charges.
- Utilities: Order power, internet, rigging and other services through approved processes.
- Credentials: Confirm exhibitor badges, access hours and staff registration.
- Move-out: Check teardown timing and carrier pickup arrangements.
Never assume the hotel guest-shipping address is also the correct convention freight address. The event’s official exhibitor kit determines where and when shipments should arrive.
Accessibility, Elevators & Mobility Planning
Marriott lists accessible on-site parking, elevators and accessible routes to public spaces and meeting facilities. Because the complex covers a large area, route length matters as much as level accessibility.
Before your event
Ask your organizer for the exact room and nearest suitable elevator. Contact the resort for disability-related accommodations, accessible lodging or a specific route question.
During your visit
Use the published accessibility route map, check elevator signage and allow more time between sessions located in different wings.
Accessibility assistance: 615-889-1000. If you need wheelchair or mobility-device arrangements, verify availability and conditions directly rather than assuming equipment is immediately available.
Food, Hotel Amenities & What Is Nearby
The resort combines convention facilities with dining, accommodations and indoor leisure spaces. For attendees spending the full day onsite, this reduces the need to travel elsewhere between conference sessions.
Dining and coffee breaks
On-site choices range from quick-service refreshments to sit-down restaurants and sports-bar dining. Check current operating hours and allow extra time during large conventions.
Indoor atriums
The Delta, Cascades and Garden Conservatory areas feature landscaped gardens and water features. They are useful for breaks, casual meetings and exploring between sessions.
SoundWaves
This indoor/outdoor water attraction has separate admission conditions. Marriott advises that the qualifying SoundWaves Experience Package is the guaranteed route to access; ordinary room-only bookings do not automatically include admission.
Opryland neighborhood
Opry Mills and Grand Ole Opry are nearby. Downtown Nashville attractions are in a different area, so plan separate transportation and travel time.
Want to recognize the building, atriums and meeting spaces before arrival? Our Gaylord Opryland photos and resort map guide covers the Delta Atrium, Cascades waterfalls, meeting facilities, guest room views and official images.
First Conference Day: A Practical Arrival Plan
- The night before: Save your QR code or confirmation, full room name, agenda, organizer contact and venue address.
- Before departure: Check for a schedule change, badge instructions and any event-specific security rules.
- At the property: Use the designated parking or drop-off area and note where you entered.
- Inside the resort: Find your event registration or check-in point before navigating to sessions.
- After registration: Identify the route between your main session, breakout room, restrooms and dining area.
- Before your final session: Allow enough time for the return walk, luggage retrieval and departure transport.
What Should You Budget for a Visit?
| Expense | Budget approach |
|---|---|
| Convention ticket | Set by your event organizer; not a universal resort entry fee. |
| Self-parking | $37/day plus tax at the published standard rate. |
| Valet parking | $55/day plus tax at the published standard rate. |
| Hotel room | Depends on dates, demand, room category and booking conditions. |
| Resort fee | Marriott has listed a $30 daily fee plus tax; confirm current booking terms. |
| Airport transfer | Budget separately for your chosen taxi, rideshare or arranged transport. |
| Food and beverages | Allow for meals, coffee, taxes and any applicable service charges. |
| Additional attractions | SoundWaves and certain paid activities require separate eligibility or purchase. |
The real cost depends on whether you are attending only a conference, staying overnight or combining the event with resort activities. Do not assume parking, breakfast, airport transfer or waterpark admission is automatically included.
